Joint meeting for Project Coordinators and Technical Group

Attendance: Sharon Morris, Steve Gregory (CO); Holly Gordon, Tine Walczyk, Kathleen Krause-Thompson (TX); Bev Obert, Troy Brown (IL); Darci Hanning (OR)

1. Introductions


2.Short Status reports from each state

Oregon

Two sites per month. Still working with graphics designer to create Plinkit banners. Four banners have been completed, four are currently in process, and eight more libraries have been identified to receive banners. Graphics designer is providing eight banners for $5,000 using the following process:

  • State library identify libraries and gets agreement from director on the process.
  • Library contact info is sent to graphics designer who in turns phones the primary contact from each library to discuss themes/concepts/ideas around the library's and local community's history, cultural aspects, etc.
  • Graphics designer develops a brief, summarizing the topics discussed on the phone and upon which the three initial draft banners will based.
  • Library reviews the banner, provides comments if needed or selects one as-is. If needed, graphics designer will tweak one or two banners before library makes final selection
  • Graphics designer provides web-ready (jpg) and print-ready (psd) files of selected banner on CD to specific library and to the State Library.

Illinios

Plinkit Conference on May 1st. 45 attendees! Everything went very well, great presentations and discussions. Bev is pulling together future directions which she will email to everyone by the end of the day Friday.

Two to three new sites most recently. Still on target to have 75 live sites by July 30th.

Colorado

Steve is working on ROI based on Colorado numbers and will use that for Colorado's version of the Library Use Value Calculator.

Currently testing out working with the same graphic designer as Oregon.

Zope issue: twice this week, zope server goes non-responsive. New threads are created but no pages are served.

  • Texas has a script to check for response and restarts server as needed; Kathleen will provide a copy of the script.
  • Illinois and Oregon have used the "deadlock debugger" to track down the cause of similar symptoms (which turned to be cause by CMFSin trying to get data from non-responsive RSS feeds).

Texas

More interest from libraries after TLA conference. Tine has just completed two more days of training with public libraries (22-25 in attendance) and expecting 18-20 of them to go live. Regional person is expected to ramp up to support Plinkit.

New server is in wait mode depending on what happens next with Plinkit 2.0.

3. Project Manager (Justine Schaffer)

  • Justine's first official day is June 2nd and she has already jumped in with both feet :)
  • Darci has developed an orientation plan and sent it out to everyone for review. Sharon has agreed to cover the marketing aspects of Justine's work duties. Orientation phone call is scheduled for Friday June 6; Darci will conference in Sharon and Justine.
  • Darci also created a Plinkit site and outlined items from the Plinkit user's manual for Justine to practice on in order to become more familiar with Plone; this will be followed up with a detailed orientation/training on the Collaborative website.
  • Next, Project Coordinators will need to work with Justine to develop a work plan covering the first six months. Darci will work with Justine to develop draft and distribute before ALA. Project Coordinators are planning on having a face-to-face meeting at ALA where the work plan can be finalized.

4. Status of Plinkit 2.0

  • Can we skip Plone 2.5 and go on to Plone 3.0?
    • Lots of discussion on this; there are a lot of pros and cons to each approach and there was no clear deciding factor.
  • Darci proposed that an RFQ (request for quote) process be used and based on the responses, the Collaborative make the final decision on Plone 2.5 or Plone 3.x; the RFQ will need to include:
    • Beefed up versions of original SOWs (including site/content migration code and documented process)
    • Explicit explanation of who our end users are!
    • Response will need to include:
      • recommendations on Plone 2.5 versus Plone 3.x and reasons why
      • Start and end dates for each approach
      • Cost for each approach
    • RFQ process should include a vendor conference call where vendors can ask specific questions; the call will be recorded in some manner and made available to all vendors that were solicited for the RFQ.
    • Based on the responses from the RFQ, a decision will be made on  Plone 2.5 versus Plone 3.x
    • General agreement that the technical group will develop the RFQ and that it would most likely not go out to vendors before mid-July due to everyone's schedule. Darci has a solid list of vendors to send RFQ to.
  • Status of documentation re-write with Toni
    • On hold until there's a decision on the RFQ; Darci has already called Toni and provided an update.

5. Ongoing/new Topics

  • Skins & color schemes added to collaborative site?
    • Steve has made progress; more to share next time
  • Status of testing recurring date issue?
    • Andy McKay's recurring events code only works for Plone 2.5; Andy still willing to work on updating his existing code once Darci has time to outline what's needed. He will not update to work for Plone 3.0
    • Plone4ArtistsCalendar has recurring events that work for Plone 3.x only. Suggested that folks download Plone 3.x for Windows and install Plone4ArtistsCalendar and/or view the screencast
  • Training:  Joel  is doing Plone Bootcamps in Seattle and North Carolina. Troy wants to verify that he can be reimbursed for training done after July 1.
  • Darci mentioned that OSL won't be able to provide teleconference service for meetings in the future. Tine will investigate what Texas may be able to offer and Darci will ask at Steering Committee meeting if BCR's teleconference service can be used and charged to the Collaborative.
